What we collect

When you book, register for an event, contact us, or sign a digital waiver, we collect details you provide. These may include your name, contact information, stay or event details, vehicle information, payment information, whether you request optional merchandise, merchandise sizing and fit selections, date of birth, emergency contact, typed signature, and waiver acknowledgements. For a signed waiver record, we also store the signing time, waiver version, IP address, and browser information. For a Motor Weekend attendee under 19, we collect only the attendance count and any optional shirt fit and size—not the child’s name, email address, phone number, date of birth or signature. We may collect basic analytics about how our website is used.

How we use it

We use your information to manage bookings and event registrations, communicate with adult attendees, fulfil optional merchandise orders, process payments, administer rentals and facilities, verify signed adult waiver records, support safety and incident response, and improve our services. Merchandise size and fit are collected only when you request the applicable add-on. We do not sell your personal information.

Information about other event attendees

A Motor Weekend booking lead may provide the name, email address and phone number of each adult included in the registration. The booking lead must have permission to share those details. We use them to maintain the event roster, communicate safety or operational information and send each adult their own private waiver request. Each adult signs only for themselves. Attendees under 19 are registered only as a count, without names or contact details. The booking lead confirms parent or legal-guardian permission and continuous responsible-adult supervision for each child.

Video surveillance

Security cameras may operate at entrances, internal roads, facilities and common areas for safety, security and incident review. Cameras are not installed in washrooms or showers and are not intentionally directed inside sleeping tents. Access is limited to authorized people and footage is retained only as long as reasonably needed for those purposes, an incident, an insurance matter or a legal obligation.

Sharing

We share information only with trusted service providers who help us operate — such as payment processors — and only as needed. A Motor Weekend booking lead may separately choose to let us share limited vehicle information (vehicle count, make, model, year and colour) with prospective or participating event vendors so they can plan relevant products or services. That optional choice does not permit us to share attendee names, contact details, licence plates, build notes or waiver information with vendors for that purpose. We do not collect information identifying a registered child for Motor Weekend registration. We may disclose information where required by law.

Retention & security

We use reasonable safeguards and limit staff access to personal information. We retain records only as long as reasonably needed for the purposes described here, to operate the business, and to meet applicable legal or insurance requirements.
